Copilot delivers a leap in productivity, but requires strong change management alongside it

Introduction

We have been involved in Microsoft’s AI development for over ten years. Large language models and generative AI became part of our offering at an early stage, and since 2023 we have been working with thousands of organizations on leveraging Copilot and AI. Through these engagements, one thing has quickly become clear: technology alone does not yet deliver a productivity leap.

Copilot offers enormous potential to streamline internal work, leverage information more effectively, and improve the meaningfulness of work. In practice, however, the benefits do not materialize at the press of a button or through a single license purchase. Real change only happens when a structured approach to learning, experimenting, and changing ways of working is built alongside Copilot at the organizational level.

A productivity leap does not come from technology alone

Generative AI solutions like Copilot primarily change the way work is done. They affect how people write, search for information, prepare decisions, and collaborate. This means that adoption impacts the entire organization—not just IT.

Based on our experience, the biggest difference between successful organizations and others is how Copilot adoption is led. Without strong change management, Copilot easily becomes a sporadic tool: some get excited, others forget about it entirely, and the impacts remain fragmented. When change affects mindsets and day-to-day work, structures are needed to support learning and the courage to experiment.

How Copilot Adoption Service supports success

Sulava Copilot Adoption Service (CAS) has been built specifically to meet this need. It is not a one-off project, but a continuous and modular way to adopt Copilot in a controlled, business-driven manner. The service combines learning, use case development, solution building, and change management into a single cohesive whole.

CAS progresses in cycles where objectives are defined, concrete actions are implemented, and the value achieved is measured. This ensures that Copilot utilization does not remain abstract, but its impact can be directly linked to smoother work, time saved, and business development.

From learning to everyday routine

In practice, change starts at the individual level: first, people learn to use Copilot in their own work—for example, for summarization, drafting, and preparation. As confidence grows, focus shifts to teams and processes—how Copilot and agents can help people work better together.

In the CAS model, learning, innovation, and solution development go hand in hand. This makes it possible for ideas to move beyond post-it notes and evolve into managed use cases and, when needed, concrete Copilot or agent solutions.

Leadership enables success

The role of leadership is especially critical in setting direction and priorities. When Copilot utilization is clearly tied to business objectives and everyday management, it becomes easier for employees to understand why new ways of working are being tried and what they are aiming to achieve.

CAS supports this by providing leadership with visibility into progress, sparring for decision-making, and clear metrics to steer and justify development. This way, change does not rest on the shoulders of a few enthusiastic individuals, but becomes a shared journey for the entire organization.

Change is continuous—and it should be

Leveraging Copilot is not a short-term project, but an ongoing journey toward a new way of working. When the right structures for learning, experimentation, and development are put in place, Copilot begins to deliver value more broadly and sustainably.

Strong change management does not mean rigidity or control, but clarity, support, and space to learn. When the reins are not too tight but the direction is clear, results emerge that are visible both in people and in the business.

What’s next?

Sulava’s Copilot Adoption Service is designed for organizations that want to embed Copilot into everyday work in a controlled way, develop use cases systematically, and demonstrate achieved value in practice. Copilot Adoption Service progresses in cycles and combines learning, innovation, solution development, and change management into a single whole.

If, on the other hand, you want to get started with Copilot quickly and smoothly, ensure a secure rollout, and provide continuous support and training for your personnel with a fixed model, Sulava Copilot Essentials is a lighter alternative. Essentials is based on the same learnings and experiences as the Adoption Service, but is aimed especially at organizations that need clear and easily scalable support for Copilot adoption and everyday learning.
