The value of PPM analytics and business intelligence

Most organizations already have the data they need - it is just scattered across project plans, spreadsheets, finance systems and status slides. By the time it has been collected and consolidated, it is old news. PPM analytics closes that gap: portfolio data is pulled from the source, presented the same way every time, and available when the decision is actually being made.

With the right reporting setup you get:

  • Real-time visibility into project health, milestones, risks and issues across the entire portfolio

  • Resource dashboards that show capacity, demand and overallocation before it becomes a delivery problem

  • Financial insight into budgets, actuals, forecasts and estimate at completion, reconciled with your finance data

  • Strategic performance views that connect projects to objectives, so leadership can see what the portfolio is delivering

  • One version of the truth - the same numbers in the steering committee, the PMO and the board pack

  • Hours given back to project managers and the PMO, who no longer assemble reports by hand

Get started with PPM reporting

We start with the decisions you need to support, not with the charts. When it is clear who needs to know what, and how often, the reporting almost designs itself - and it stays maintainable.

Our approach follows three steps.

  • Reporting problems usually sound like this: every project reports status differently, nobody trusts the numbers, and leadership asks questions the reports cannot answer. We work with your PMO, portfolio owners, finance and leadership to define the questions each audience needs answered, the metrics behind them, and the data quality required to make them reliable. We also review your existing reports and retire the ones nobody uses.

  • We connect your PPM platform to the surrounding systems and build a data model that holds up over time - consistent definitions, clear ownership and automated refresh. On top of that we design Power BI dashboards for each audience: an executive portfolio overview, PMO operational views, resource and capacity reporting, financial control, and project-level detail for drill-down. Visual design follows your brand and stays readable on screen and in a boardroom.

  • Dashboards create value when they replace manual reporting, not when they sit beside it. We embed the reports where people work - in Microsoft Teams, in the PPM platform and in your governance meetings - train the audiences, and agree who owns each report and each metric. From there, reporting becomes part of the portfolio rhythm rather than a monthly scramble.

Reporting that starts with the basics and grows from there

You do not need a data warehouse to get value from portfolio reporting. We begin with the fundamentals that every organization needs: project health and status, milestones and deadlines, resource load, and budget versus actuals. Those alone remove most of the manual reporting effort and most of the surprises.

Once the basics are trusted and used, we extend step by step - benefits realization, scenario and what-if analysis, trend and history reporting, risk exposure across the portfolio, and predictive views that flag projects likely to slip. Each addition builds on the same data model, so the numbers stay consistent and the reporting effort does not grow with the ambition.

Powered by Power BI and the Microsoft platform

We build on Power BI and the Microsoft data platform, which means your portfolio reporting uses the same security, identity and licensing model as the rest of your business intelligence. There is no separate reporting silo to maintain, and your data team is not asked to learn a new toolchain.

We typically bring together:

  • Projectum xPM and Microsoft 365 as the source of project, portfolio and resource data

  • Power BI for dashboards, row-level security, scheduled refresh and self-service exploration

  • ERP and finance systems for budgets, actual costs and forecasts

  • HR and time registration for capacity, allocations and time spent

  • Microsoft Teams for reports delivered where the conversation already happens

  • Microsoft Copilot and AI capabilities for narrative status summaries and faster analysis

Let us look at your reporting

Share the reports you produce today and the questions they cannot answer. From there we can scope a reporting quick start with a core set of dashboards, a full analytics setup with data model and integrations, or a review and cleanup of the Power BI reporting you already have.
