Xamk used a structured M365 Copilot pilot project to build shared AI capabilities and ensure responsible and secure use of artificial intelligence across the entire organisation.
Through targeted training and clear guidelines, Copilot became an integrated part of employees’ everyday work and created clear efficiency gains in both teaching and administration.
With Context& as partner, Xamk became the first higher education institution in Finland where the entire staff actively uses AI.
Xamk has campuses in Kotka, Kouvola, Mikkeli and Savonlinna and works broadly with education as well as research, development and innovation activities with strong regional significance. The organisation employs more than 1,000 employees from many professional fields and serves around 12,000 students. In 2023–2024, Xamk decided to strengthen AI competencies across the entire staff. The ambition was to use AI broadly in research, teaching and administrative functions, without compromising data security, legislation and responsible use. This required clear frameworks, shared guidelines and a secure platform that could replace inconsistent and informal use of external AI tools.

In March 2025, Xamk launched an approximately six‑month M365 Copilot pilot project in collaboration with Context&. M365 Copilot was chosen due to the platform’s strong security and compliance features. One hundred employees from different parts of the organisation, including top management, participated in the pilot project. The focus was on testing concrete use cases, assessing technical readiness and identifying needs for training and organisational adjustments. At the same time, participants were prepared through targeted training, where understanding responsible AI use and data security were central elements. Copilot was integrated into the existing Microsoft tools that employees already used in their daily work.

The pilot project clearly showed that M365 Copilot could create value across Xamk by accelerating routine tasks and increasing efficiency. The experiences formed the basis for a decision to roll out Copilot and related training across the entire organisation. As a result, Xamk became the first higher education institution in Finland where all employees use AI as part of their work. The organisation‑wide training was tailored to Xamk’s needs and builds on the experiences from the pilot. The result is a shared, secure AI platform, reduced risk of shadow AI and a clear uplift in employees’ digital competencies.
