Modernised intranet and Yammer launch strengthen internal communication

The challenge

Posti’s existing intranet required renewal on both the user interface and technical side. Its content was outdated, difficult to find, and challenging to update. The old interface no longer met modern needs. The intranet was used by 6,000 office employees, while 12,000 production workers had no technical access. Posti also lacked an official internal channel for employees to ask questions or discuss various topics.

The solution

The project began with planning and top-level conceptualisation in May 2020. Context& took responsibility in late 2020. Consultants conducted surveys, led planning and technical implementation, and trained employees. The old SharePoint environment was moved from dedicated servers to the cloud, and only selected content, such as the news archive, was transferred. Content creators evaluated what should be kept or removed. Around 50 information owners became responsible for keeping content up to date, supported by annual automated reminders. 

Yammer was introduced systematically as Posti’s organisation-wide internal social media channel. Instructions, guidelines, and training workshops were provided, and employees were invited to contribute ideas for how Yammer could serve their needs. New user interfaces for both the intranet and Yammer were developed for Posti Mobile devices.

The result

The project was completed on schedule in early June 2021. The new intranet became an up-to-date visual newsroom resembling a data bank. Content management responsibilities were distributed across information owners, supported by reminder systems. Yammer became an active internal channel designed to promote communication and engagement across the organisation.
