User feedback highlights easier work, improved project follow‑up, and a clear, intuitive user interface.
Before the transformation, YIT used different project management processes across its business areas, making it difficult to gain a unified overview. Information was shared through multiple channels, including email, which led to inconsistent communication and the loss of important knowledge. The lack of a common platform made it challenging to identify risks early, ensure profitability, and make well‑informed decisions. YIT therefore aimed to bring processes and data together in one place to improve transparency, follow‑up, and overall project progress.

YIT and Context& jointly designed and built GateApp from scratch following a pre‑study phase that mapped reporting needs, solution options, and technical requirements. The chosen platform was Microsoft Power Platform, leveraging Power Apps and Power Automate and drawing on proven earlier practices. The application supports gate‑based project lifecycle management, decision‑making data, meeting management, and approval chains. A lightweight initial version was tested in autumn 2022, ensuring performance at scale. The first functional version was deployed in Finland and Sweden at the turn of 2023, followed by iterative updates based on user feedback. The solution allows business‑driven implementation and includes an administrator application enabling YIT to independently manage most support needs.
YIT is one of the leading Northern European companies in construction and property development. Headquartered in Helsinki, the company focuses on creating sustainable urban environments through the development of residential buildings, commercial properties, and infrastructure.
By early 2024, GateApp was rolled out across the entire organisation. Around 600 project‑responsible employees, along with unit leadership and YIT Group management, actively use the tool. GateApp manages the full decision‑making lifecycle from bidding to warranty period, handling approximately 540 ongoing projects and over a thousand gate treatments. The application receives about ten new projects per week. Feedback highlights significantly improved visibility into projects, easier follow‑up, and a highly intuitive interface. A user satisfaction survey conducted six months after rollout showed an NPS of 50. GateApp reduced reliance on documents by centralising information and paved the way for future enhancements, including potential use of artificial intelligence to analyse risks and identify interesting projects.
